These policies ensure that the quality service for all horses under our care is maximized.
POLICY UPDATES
Scheduling, Cancellation, and Service Policies
Effective Date: 22 JUNE 2026
Scheduling an appointment with Rocking Speer Ranch constitutes acceptance of all current scheduling, cancellation, payment, and service policies.
Appointments and Route Scheduling
Appointments are scheduled according to geographic route efficiency, client density, and existing service commitments.
Appointment requests, route changes, and special scheduling requests are subject to availability.
Changes requested after routes have been finalized may require placement on a future route or utilization of haul-in services.
Cancellation Policy
Appointments canceled within five (5) calendar days of the scheduled appointment are subject to a cancellation fee equal to fifty percent (50%) of the scheduled services or previous appointment balance if services were not identiied at time of scheduling.
Cancellation fees must be paid before future appointments will be scheduled.
Exceptions may be considered for documented emergencies, severe illness, death in the immediate family, or acts of God.
Next Available Opening Policy
Clients who cancel an appointment will be scheduled at the next available opening that fits the route schedule.
Re-entry into the same service cycle is not guaranteed.
Clients requesting earlier service may utilize haul-in appointments when available.
Rescheduling Policy
One courtesy reschedule may be granted annually.
Rescheduling is subject to a $25 rescheduling fee.
Additional reschedule requests may result in loss of scheduling priority and placement on the next available route.
No-Call / No-Show Policy
Failure to be present as agreed, have horses available, provide access to the property, or respond to communication attempts at the scheduled appointment time may be considered a no-call/no-show.
A no-call/no-show constitutes voluntary termination of services by the client.
Rocking Speer Ranch reserves the right to discontinue services immediately following a no-call/no-show event.
Horse Readiness Policy
Horses must be caught, haltered, and ready for service at the scheduled appointment time, no exceptions.
Excessive delays (10 Mins or more) may be treated as a cancellation or no-call/no-show at management discretion.
Three-Strike Policy
Any combination of the following within a rolling twelve-month period may result in loss of recurring scheduling privileges:
• Repeated cancellations
• Repeated rescheduling
• Horses not ready
• Payment issues
• Scheduling disruptions
Clients will be moved to haul-in-only status or removed from the client roster.
Farm Call Eligibility
Farm call services are reserved for clients who:
• Maintain recurring schedules
• Maintain reliable payment history
• Maintain low cancellation rates
• Have horses prepared and available
• Comply with scheduling policies
Clients who fail to meet these standards may lose farm call privileges and be moved to haul-in-only status.
One-Time Service Policy
Routine farm calls are reserved for recurring clients.
One-time services may be required to utilize haul-in appointments.
Minimum Farm Call Requirements
Rocking Speer Ranch reserves the right to establish minimum service requirements for farm call accounts.
Accounts that fail to meet minimum requirements may be moved to haul-in-only status.
Payment Policy
Payment is due at the time services are rendered unless prior arrangements have been approved.
Outstanding balances (Including cancellation and rescheduling fees) must be paid before future appointments are scheduled.
Repeated late payments will result in suspension of services.
Client Conduct Policy
Rocking Speer Ranch reserves the right to discontinue services for:
• Repeated policy violations
• Verbal abuse or harassment
• Unsafe horses or handling practices
• Refusal to provide care between cycles (i.e. - following laminitis protocols)
• Dishonest communication
• Chronic scheduling disruptions
• Failure to maintain professional interactions with staff
